How to Download a Document
Every document in The Chart Room is available to download and save to your own computer or network. There are no limits on how many times you can download a document, and you can download the same document again whenever an updated version is available.
Step 1: Navigate to the right page
Use the page menu on the left side of your screen to find the section containing the document you need. Click the page name to open it.
💡 Not sure which page your document is on? Use the table above or contact us and we will point you in the right direction.
Step 2: Find the document
Each page lists the documents available with a short description of what each one contains. Scroll down the page until you find the document you need.
💡 Documents are listed with their full title and file format — Word (.docx) documents are fully editable. PDF documents are formatted for printing.
Step 3: Click the download button
Click the download link or button next to the document name. Your browser will either download the file automatically or ask you where to save it.
💡 On most computers, downloaded files go to your Downloads folder unless you choose a different location. We recommend creating a dedicated 'Harbour Governance' folder to keep everything organised.
Step 4: Adapt and use
Most Word documents contain bracketed placeholders — for example [Organisation Name] or [INSERT DATE]. Replace these with your organisation's details before using the document. The document is then yours to use, adapt, and share within your organisation.
💡 Do not share the original downloaded documents outside your organisation — your membership licence covers internal use only. See the Membership Terms section below for details.

Keeping Your Documents Up to Date
One of the most valuable things about The Chart Room is that your documents are kept current for you. When CQC guidance changes, when PSIRF is updated, or when a new national patient safety alert is published, the relevant documents in The Chart Room are revised and the new versions uploaded.
Here is how to make sure you always have the most current version of every document:
How you will be notified of updates
• You will receive an email from Harbour Governance each time a document you have access to is updated — the email will tell you which document has changed and what has changed
• The Welcome page inside The Chart Room lists the most recently updated documents at the top — check this page at the start of each visit
• Harbour and Deep Water members receive a monthly Regulatory Update briefing summarising all changes in the past 30 days
• Deep Water members receive priority alerts within 24 hours of significant regulatory changes
What to do when a document is updated
1. Download the new version from The Chart Room — it will have an updated version number in the filename (e.g. v1.1 or v2.0)
2. Replace the previous version in your organisation's document management system or file storage
3. If the document is a policy that has been approved by your board, check whether the changes are material enough to require re-approval
4. Update the version number and review date in your policy register
Why version numbers matter
CQC inspectors will ask to see your policies — and they will check whether they are current.
A policy with an out-of-date review date is a common inspection finding. The easiest way to avoid this is to download the updated version from The Chart Room as soon as you receive notification and update your policy register the same day.

Yes — you can upgrade or downgrade your tier at any time. Upgrades take effect immediately. Downgrades take effect at the start of the next billing cycle. If you upgrade mid-month, you are charged only the difference for the remainder of that month.

All documents are designed to be adapted and in use within hours, not weeks. They are provided as fully editable Word documents with clear guidance notes indicating what needs to be customised for your specific organisation. Most adaptations involve inserting your organisation name, site details, and named role holders.

Anchorage members receive quarterly updates. Harbour and Deep Water members receive monthly updates and regulatory change alerts. When a document is updated, all members with access to that document are notified by email with a summary of what has changed and why. You never need to check manually — we tell you.

Anchorage and Harbour memberships are single-user licences — the documents may be used within your organisation but not shared externally or resold. Deep Water includes an organisational licence covering up to five named users, making it the right choice for multi-site providers or those with larger governance teams.

Yes — every document in The Chart Room is written for the specific regulatory, operational, and commercial context of independent and private healthcare providers. They reflect CQC's expectations for independent services, not NHS trust structures. Where documents reference regulatory bodies, they reference the frameworks applicable to your setting.

Deep Water members receive two hours per month of direct support from one of the team expert members to adapt documents to their specific organisational context. This can be used to customise templates, review a draft policy before board submission, or discuss how a framework applies to a particular site or service type. Time is booked via a dedicated scheduling link.

Monthly memberships have a 14-day cancellation period from the date of joining. After that, you may cancel at any time and your membership remains active until the end of the current billing month. Annual memberships are non-refundable after the 14-day cancellation period but may be transferred to a different organisation on request.
